Hi

I was just wondering if there is any way to set up a mailing list in outlook
express where the people who recieve the email won't see the long list of
emails of all the other people it was sent to. Also I want to be able to
keep the list and add new people as they sign up for the email.

Bcc

Open the message, click on View | All Headers
Put the names in the Bcc line and your name in the To: line
That way no one will see the names, only the one showing yours.

To make it easier, set up Groups in Address Book. Put the names in the Group
you want to be in the list. Then only Bcc that Group name. OE will only be
able to handle so many names and using the group helps get around that.

You need to use the "Bcc:" (blind copy) feature of OE.

First:
While in a new mail message window click View>All Headers.

This will change your setup to always show the "Bcc:" line.

Second:
To send a copy of an Email to an individual, or list of individuals
(individually, or a group list) where noone sees the recipient's name, you
simply put the name(s) in the "Bcc:" line. The downside is that each
recipient in the "Bcc:" line doesn't see his/her name either. See the next
step for further info on this.

Check with your ISP on how many recipents you can have in
("To:", "Cc:", & "Bcc:" lines combined) for a single mailing. Many ISP's
limit this, but some will remove the "cap" or provide you with a way around
their limit if you can justify that you're not a spammer.

Third:
You should put an entry in the "To:" line. Many ISP's require that an entry
be present or your "Bcc:" line only Email will be considered as SPAM. If
your ISP doesn't require an entry in the "To:" line, they may automatically
insert "Undisclosed Recipients" there for you.

Many individuals filter their Email for "Undisclosed Recipients" on the
"To:" line, and discard such mailings as "SPAM". A better way to handle this
is by either entering your own name there, or setting up an address such as
"Friends of whatever" (where the real Email address is a valid reply
address) and placing it there. Whatever you place in the "To:" line is what
each recipient will see. (The second option is preferred, and offers a more
"professional" feel to the mailing).

Fourth:
Inform your recipients of what you're going to place on the "To:" line.

If your recipients have any SPAM controls in place, they'll be able to
adjust them to allow your newsletter past their filters.

What do you have to do to send an email using a group name?

To set this up you make up TWO group names with similar titles because one
of the names, in this example, 'Technical Newsletter', will be used for the
To field which has your email address recorded against it and the other one,
'Tech Group' will be an internal name for your real group inside your
Address Book which you will use in the Bcc field. Tracking with me so far?
Good!

The group name 'Technical Newsletter' is your external group name that shows
up in the To field and the real group is under the group name 'Tech Group',
or whatever name you want which has all the email addresses of the people
that you wish to send the bulk email 'Technical Newsletter', to.

Once you have set up your 'groups' with their various names, you can send an
individual email to each person stating that you will be sending an email to
them occasionally with the name 'Technical Newsletter' and could they please
adjust their filters to be able to receive it if they have a filter/s set
up. If they don't have a filter/s, then the email will be accepted by their
email program automatically.

Alternatively you could just put your email address in the To field instead
of a group name and it would work the same, it just wouldn't look as
profesional. It would show as From; abcd@iknow.com for instance.

To have the name 'Technical Newsletter' come up in the To; field instead of
'undisclosed recipient' or your email address;

Open up Address Book;
Click on New | New Group | Bottom of screen you will see Name: & E-Mail :

Type the Group name 'Technical Newsletter' in the Name: field and your
e-mail address in the E-Mail: field - then click Add.

The Group name will become 'Technical Newsletter' and the email address will
be your email address.

It will now show up as - for example;

From; PC Anywhere To; 'Technical Newsletter'

on each email received, and you will receive a copy as well.

How do you create a group?;

You can create multiple groups, and contacts can belong to more than one
group.

In the Address Book, select the folder in which you want to create a group,
click the New button on the toolbar, and then click New Group. The
Properties dialog box opens.

In the Group Name box, type the name of the group.

You can add people in several ways to the group - and in some cases to your
address book as well.

To add a person from your address book list, click Select Members, and then
click a name from the address book list.

To add a person directly to the group without adding the name to your
address book, type the person's name and e-mail address in the lower half of
the Properties dialog box, and then click Add.

To add a person to both the group and your address book, click New Contact
and fill in the appropriate information.
