When users have both MS Outlook and Exchange Server account, they can create a calendar group which allows to view work of colleagues and friends who are in a group. It also allows users to view combined schedules without disturbing others who are in the group. The contact in your address book can automatically add to the group who share the group calendar with you. The group also adds Internet Calendars and SharePoint Calendars.
Steps to Create a Calendar Group
You have two options to create a calendar group.
Prefer associated with the Address Book
Create a calendar group considering the existed calendars
Selecting Members from Address Book
In Outlook, visit the Calendar tab on Home tab press table Manage > Calendars groups > Create new calendar group.
Give a unique name to the calendar group and press the OK tab.
To add members to your new calendar group, select Address Book or Contacts list under Address Book option.
In the search box, write down the name to select it and press Group Members button. Repeat the same process for every calendar you would like to feature in the group and then press Ok.
Creating a New Calendar Group Considering the Existing Calendar
Press the tab Calendar on Home tab, in the Manage Calendars group select Calendar group. After that press Save as to create a new calendar group. Give a unique name and finally press OK.
Important Notes: Make sure you have closed the existed calendar group to view the new group. It will open beside Calendars and Groups that you have already opened.
To view other calendars then from the navigation pane check on a respective box of the calendars.
Add Calendar to Calendar Group
With the use of Navigation, pane users can add the calendar to an existing calendar group by dragging it.
In case, the calendar you wish to add is not appearing in Navigation Pane, there are some easy steps to follow-
Go to Calendar, on Home tab and press the Manage tab.
In the Calendars group press Open Calendar and select the calendar of your type.
Take help of the search box to locate the particular calendar group by writing its name. Now select the name and then press Calendar. The same process you will have to follow for each calendar that you would like to add in the group and finally press OK tab. They will be visible in the Navigation pane.
Note: Users can use Schedule View to add the calendar to Shared Calendars. For this, press 'Add a Calendar' box at the bottom and provide the name.
Now drag the particular calendar from the Shared Calendar to calendar group into which you would like to add Calendar group in the Navigation Pane.
Note: Users can move the present member from one group to another. To achieve this, drag the respective calendar to the Calendar group from the Navigation pane.
Ways to View Calendar Group
Select the Calendar from the Navigation pane.
The Group Calendars will view side by side or horizontally. If you wish to view these groups in overlay mode, press Day, Week, Work or Month. Groups will be visible in the side panel.
Select 'View in Overlay Mode' arrow on the Group Calendar you would like to view in the overlay mode.
Kindly Note- Calendars who see in the Navigation pane can be viewed on any group. It doesn't matter whether or not the member is related to the particular group. Users can able to view more than one calendar group at a time. Check the group which you want to view together.
If you wish to hide the calendar, unchecked the box from the navigation pane or press 'Close Calendar' on the Calendar tab. The feature doesn't eliminate calendar from a group.
Deleting the Calendar Group
If you wish to clear a calendar group, right click on it to select Delete Group option.
